If you have recently set up a business in Dubai or are managing a UAE company from India, ICP Smart Services is a portal you will deal with constantly. Every employee visa. Every Emirates ID renewal. Every residence visa application. Every Golden Visa submission. All of it runs through this platform.
And yet, a surprising number of Indian entrepreneurs who are confident with the business setup side of Dubai still get tripped up here. Not because the portal is impossibly complex, but because one wrong field, one document uploaded in the wrong format, or one wrong service category selected can trigger a rejection that takes two to three weeks to resolve and costs money to resubmit.
At Flyingcolour® Business Setup, we manage ICP applications for Indian entrepreneurs regularly. We have seen where things go wrong and how to avoid it. This guide tells you exactly what the portal does, how to use it correctly, and what to watch out for in 2026.
ICP Smart Services, accessible at smartservices.icp.gov.ae, is the federal digital portal operated by the Federal Authority for Identity, Citizenship, Customs and Port Security of the UAE, commonly still referred to as ICA. It is the primary online gateway for all federal identity and residency services in the UAE.
Note: Many people still search for ICA Smart Services because the authority was previously called ICA. The portal and its services are the same. The full form changed to ICP following a government restructuring, but the smartservices.ica.gov.ae address now redirects to the ICP portal.
The portal covers a wide range of services that Indian entrepreneurs managing UAE businesses or residency need regularly:
This is the most common source of confusion for Indian entrepreneurs new to the UAE system. Submitting to the wrong portal means immediate rejection.
Simple rule: If your visa or Emirates ID was issued by the Federal ICA or ICP, use the ICP portal. If it was issued by Dubai Immigration GDRFA, use the GDRFA portal. When in doubt, check the issuing authority printed on your visa page or Emirates ID card.
In our experience at Flyingcolour® Business Setup, the wrong portal submission is the single most avoidable reason for application rejections among Indian entrepreneurs new to the UAE system.
Use an email address and phone number you plan to keep long term. Updating contact details on the ICP portal later is a slow process.
You can also check ICA Smart Services visa status using your passport number through the status check tool on the portal without logging in. This is particularly useful for Indian applicants still outside the UAE waiting for visa approval confirmation.
According to ICP data, more than 90 percent of routine Emirates ID renewals submitted correctly are processed within 48 hours. Errors in documents are the primary cause of delays beyond this window.
After your Emirates ID application is submitted and approved, you receive an SMS from the Federal Authority confirming it is ready for collection. You can also check the status directly:
Emirates ID cards are typically delivered through Emirates Post to your registered UAE address within three to five working days of approval. If you opted for courier delivery at time of application, tracking is available through Emirates Post.
Managing ICP applications alongside running a business is genuinely time consuming. One document error can cause a two to three week delay. One wrong portal submission means starting over. For Indian entrepreneurs handling this remotely or managing multiple employee visas simultaneously, the room for error is real.
Flyingcolour® Business Setup manages the complete ICP application process for Indian entrepreneurs and businesses in Dubai. We conduct a document audit before every submission, ensure the correct portal and service category is selected, coordinate medical test timing, track application status, and intervene proactively if an application stalls. In our experience working with hundreds of Indian entrepreneurs, pre submission document checks consistently cut processing time and eliminate the costly resubmission cycle that comes from going in unprepared.
ICP Smart Services is the backbone of UAE residency and identity management in 2026. For Indian entrepreneurs running businesses in Dubai, fluency with this portal is not optional. Visa processing, Emirates ID management, and Golden Visa applications all run through it, and errors here have direct consequences for your business operations and your team.
Know which portal applies to your visa type. Prepare your documents correctly before submission. Check your sponsor license status before every employee visa application. And if you want to make sure it is done right the first time, Flyingcolour® Business Setup is ready to manage the entire process for you.

How can I check if my UAE Emirates ID is ready?
Log in to smartservices.icp.gov.ae, go to Emirates ID Services, and select Check Emirates ID Status. Enter your application number or existing Emirates ID number. You will also receive an SMS from the Federal Authority once your ID is approved and ready. Emirates Post delivers the physical card within three to five working days to your registered UAE address.
Can I check my UAE visa status online?
Yes. Log in to your ICP Smart Services account at smartservices.icp.gov.ae, click on Application Status, and enter your reference number. Your status will show as Submitted, Under Review, Approved, Rejected, or Pending Additional Documents. You can also use the public visa status check tool on the portal using your passport number without logging in, which is useful for applicants still outside the UAE.
Can I check my visa status by passport number?
Yes. The ICP portal provides a public facing status check tool that allows you to check visa application status using your passport number and nationality without needing to log into a registered account. This is particularly useful for Indian applicants waiting for UAE visa approval confirmation before travelling. Go to the ICP Smart Services portal, look for the Visa Status or Application Status check option on the homepage, and enter your passport number and nationality to retrieve your current application status.
